Gaming Cafe Setup Cost in India

What it costs to set up a gaming cafe in India — PCs, consoles, VR, pool tables, interiors, deposits and monthly running costs, with planning ranges.

There is no single number for setting up a gaming cafe in India — a 10-PC neighbourhood cafe and a 30-station mall venue are different businesses. What you can do is build the cost up honestly, line by line, and then pressure-test it.

Use the ranges below as planning ranges to verify with local quotes, not fixed prices. Hardware, rent and interior costs move a lot by city, by month and by how hard you negotiate.

One-time costs

Gaming stations

Item What drives the price
Gaming PC GPU tier is the single biggest factor; entry esports rigs cost a fraction of high-end ones
Monitor Refresh rate — 144Hz+ is expected by regulars
Peripherals Keyboard, mouse, headset, mousepad; budget for replacements, they wear out
Gaming chair Cheap chairs shorten sessions — treat this as revenue equipment
Console (PS5 / Xbox) Console + extra controllers + large display
VR headset Headset plus a dedicated play area and supervision
Racing rig Wheel, pedals, rig frame, triple display or single ultrawide
Pool / snooker table Table, cues, lighting and floor clearance around it

Get at least three quotes per category. Distributor pricing for a bulk cafe order is usually well below single-unit retail.

Everything that is not a station

  • Rent deposit — often several months of rent, and frequently the largest single cheque you write
  • Interiors and electrical — flooring, lighting, partitions, dedicated circuits, cable management
  • Air conditioning — sized for machines plus people, not just floor area
  • Power backup — at minimum for network and billing; ideally for a section of stations
  • Networking — router, switches, cabling, access points
  • Furniture and counter — tables, seating, storage, snack display
  • CCTV and security
  • Branding and signage
  • Licences and registrations
  • Opening marketing — launch offers, local ads, influencer visits

The line most people forget

Keep a working capital buffer of at least two to three months of running costs. Cafes rarely hit stable occupancy in month one, and running out of cash in month three is the most common way a good venue closes.

Monthly running costs

  • Rent
  • Staff salaries
  • Electricity — gaming PCs plus AC make this a major, seasonal line
  • Internet — a business line with a backup connection
  • Game and software licences
  • Maintenance, spares and consumables
  • Snacks and drinks inventory
  • Marketing

How to size your investment sensibly

  1. Estimate realistic monthly revenue first, using conservative occupancy.
  2. Subtract running costs to get monthly profit.
  3. Divide your planned setup cost by that profit — that is your break-even in months.
  4. If break-even is longer than you can personally fund, cut station count, not station quality.

The gaming cafe profit calculator does exactly this maths with your own numbers.

Ways to reduce setup cost without hurting the floor

  • Open smaller and expand. It is far easier to add 6 stations to a full cafe than to fill 12 empty ones.
  • Negotiate the deposit, not just the rent.
  • Buy chairs and monitors well, save on decorative interiors. Customers feel the seat and the screen; they don't feel the ceiling.
  • Skip per-station software fees. GamingCafe.io charges nothing per PC, console or table — unlimited stations, free to start — so growth doesn't add software cost.
